Faculty & Staff Printing Overview

BW IT department offers departmental printing, copying and scanning for faculty and staff. An accounting code may be required to use the service, which can be obtained from your department manager.

Cost

Currently there is no cost involve for this service to you or to your department.

What is included?

Each department has access to a network enabled workgroup printer or multi-function device (MFD) that serves as a printer, scanner, copier and sometimes a fax machine.

Please check with your department manager for department specific restrictions or limititations.

Faculty & Staff Utilizing BW Lab Printers

Members of the BW faculty & staff do not receive a printing allowance for printing in a BW Lab. If a faculty or staff member wishes to print in a BW Lab, they will be charged for their printouts and an invoice will be issued to their department. It is to the department's discretion wheter to authorize the payment of the invoice, with department funds or th make the employee pay.

How do I ...?

  • Contact the service number on the front of your MFD and reference your unit’s ID Number.
  • Contact the BW IT Service Desk if you have any questions on how to request service on your device.
  • Call the BW Bookstore at (440) 826-2342 to order your paper.
  • NOTE: The BW Bookstore will need your department name and the ID number on the front of the unit.

  • Call the Purchasing Department at (440) 826-2444 to order staples.

  • The olders most obsolete equipment will be recycled according to EPA guidelines. Some equipment will be donated to Goodwill Industries and some will be retained on campus to use as replacements in areas where MFDs have not been installed.

  • The multi-function devices (MFD) have the ability to “secure print” allowing you to assign a code to a document. You will need to enter this code at the MFD's console before your document will print.
  • Training will be provided when the MFD is installed. The BW Purchacing Department can also arrange for additional training as necessary.
  • You will be charged $.02 for all black & white prints and $.08 for all color prints. This cost includes your paper and staples. The charges will be on your department’s copying account. You will provide the paper and toner for any network or desktop printers in your department as well as any maintenance kits or necessary repairs if there is an MFD in your area. If a network printer or desktop printer is all that’s provided, your maintenance kits and repairs will be covered under the IT budget.
  • In order for this campus printing initiative to work and save the university money, all printers must be approved through the IT Department. And, as with all computer hardware, purchased through IT using computer capital funds. If you bring a printer from home, the University will NOT provide any resources.
  • All MFDs will default to duplexed (two-sided) printing. If you must print a document single side only, you will need to change the option each time you print.
  • Konica Minolta MFDs

    By default all Baldwin Wallace Network Printers are set to print duplex (print on both sides).  The following instructions will guide you through disabling the duplex option for your specific print job.

    With your Document open;

    • Click File
    • Click Print

    NOTE: If the File > Print option is not available you can press Ctrl + P on your keyboard.  Depending on the type of document and the software used to view the document, you printing window will vary.

     


      

     

    • Click Printer Properties or Properties, depending on your document software.
    • The printer properties will open for the Baldwin Wallace Network Printer you intend to print to.

     

     

    • Click the Print Type drop down arrow
    • Click 1-Sided

    NOTE: If you not see the Print Type option on the My Tab, click the Layout Tab.

    • Click OK
    • Click Print

     Your print job will be printed on a single side of paper.

  • Lexmark MFDs

    Your print job will be printed in color.

  • NO! InkJet labels can serious harm your MFD. InkJet labels can stick to drums, fusers or other parts permanently damaging the device.
  • Do not attempt to print on injet labels

  • Your computer should be set up to print in at least 2 locations in your building, area, department, etc. If you need to add an additional print driver, please see the documentation that is provided at http://help.bw.edu. However, the MFD must be set up to accept your department code. Each department’s secretary will have the list of areas where you can print or copy.

  • Follow the instructions below to add a network printer in Windows 7.

    Step 1. Click Start.

    Step 2. Click Run and type in \\bwprint

    Step 3. Click OK.

    Step 4. Click View remote printers.

    The next list that pops up is the list of network printers on campus. Quickly scroll down through the listto find the printer (printer name) and double click on it.

    Step 5. Click the printer tab on the next box that pops up

    Step 6. Click Connect in the drop down and the printer will be added to your list of printer choices. To make this printer your default printer, click the printer tab again and click Set As Default Printer.

    • Install the driver for your correct Mac operating system (OS) and the printer.
    • If you do not know what OS you are running click the apple then go to about this Mac

     

    In this case we are running OS version 10.9.x so would install the 10.9 drivers for the correct model of the printer Im trying to add.

    • Then you will need to add the printer after installing the driver for the printer (which we just did)

    • To add a printer to your Mac computer go to System preferences by clicking  in your doc or by going to Apple icon

    • This will take you to the following page

    • Choose the printer/scanner icon    from the above window

    • It will take you to the following page:

     

    • Click "+" sign on your left hand side of the window

    • It will take you to a "Add" window where you will need to click "IP" picture as shown in the picture below:

     

    • Enter an IP address under "Address" text box.  (You will need to call IT Helpdesk @ ext 7000 to get the IP address)
    • Then Click "Use" drop down box as shown on the picture above
    • And Click "Select Software" 

     

    • After that you will see a following window:

    • Tye in a "Search bar" the type of printer you have and it will give you the list of  printer model to select. Click "Ok"
    • Then click "Add" will give screen like this and you will use the information from the windows page you looked at that looks like this:

            For the PAPER SOURCE, UNIT, FINISHER, and PUNCH UNIT, change them with drop downs and click "OK"

     Your print job will be printed on a single side of paper.

    • Click the Fax / Scan button to begin
    • If your MFD is already populated with the destination address, press the name of the destination.

    • If you do not have your destination fax number;
    • Touch Direct Input
    • Touch Fax

     

    • Enter the phone number of the destination device
    • IMPORTANT: If sending your fax to an off campus fax number, you must dial 9 to gain an outside line.
    • Touch OK
    • NOTE: If you intend to send the fax to multiple recipients, press Next Destination.  A fresh phone number field will appear, enter the next phone number.  Touch OK when finished.
    • Place your original document on the MFD paper tray.  If you have several pages to send, you can place them all on the paper tray.
    • NOTE: Place document on the MFD paper tray facing up.

     

    • You can also place your document on the MFD glass, however you can only fax one sheet at a time.
    • NOTE: Place document face down on the glass.
    • Press the Start

     Your document(s) will begin scanning.  Once your document(s) have been scanned the fax will attempt to send. A confirmation page will print summarizing whether the fax was sent successfully or explain the reason why the fax was unsuccessful.

  • By default all Baldwin Wallace Network Printers are set to print in black and white to conserve toner.  The following instructions will guide you through enabling the color printing option for your specific print job.

     

    With your document open;

    • Click File
    • Click Print

    NOTE: If the File > Print option is not available you can press Ctrl + P on your keyboard.  Depending on the type of document and the software used to view the document, you printing window will vary.




        

     

    • Click Printer Properties or Properties, depending on your document software.
    • The printer properties will open for the Baldwin Wallace Network Printer you intend to print to.

     

     

    • Click the Select Color drop down arrow
    • Click Auto Color

    • Click OK
    • Click Print

    Your print job will be printed in color.

    • If the email address is not listed in the Address Book;

    • Enter the email address you intend to send your scanned document.
    • Touch OK

    NOTE: If you intend to send the scanned document to multiple recipients, press Next Destination. A fresh email entry field will appear, enter the next email address. Touch OK when finished.

    It is good practice include your email address when sending a scanned document.  This will verify the scan to email process was a success.

    • Place your original document on the MFD paper tray. If you have several pages to send, you can place them all on the paper tray.

    • You can also place your document on the MFD glass, however you can only fax one sheet at a time.

    NOTE: Confidential and Verify print jobs are automatically deleted from memory after printing. Repeat and Reserve jobs are held in the printer until you delete them.

    • Click the Print and Hold Tab
    • Click the box Use Print and Hold to enable functionality
    • Click to select Confidential print
    • Enter a username to be used for Confidential printing in the User Name field
    • Enter a four digit PIN which will be used to retrieve your print job from the printer.

    NOTE: You will need to enter your Secure Print ID and Password every time you want to release a print job from the printer.

     

     

    • Click OK
    • Click Print

     

             

     When you get the "Job Accounting" popup box, Make sure to Replace the UserName/ID to your 6 digit department code and leave the other fields blank.

    Click "OK"

    NOTE: Your print job will be sent to the print, but will not print until you “release” your print job through the Secure Print Settings.

     

    Macintosh users

    With a document open,

    • Click File
    • Click Print

    NOTE: If you are prompted, click the disclosure triangle to see more options.

    From the print options or Copies & Pages pop‑up menu

    • Click Job Routing
    • Select Confidential print
    • Enter a username to be used for Confidential printing in the User Name field
    • Enter a four digit PIN which will be used to retrieve your print job from the printer.

    NOTE: You will need to enter your Secure Print ID and Password every time you want to release a print job from the printer.

    • Click OK
    • Click Print

    From the printer home screen

    To “release” your confidential print jobs;

    • Navigate to: Held jobs
    • Select your user name
    • Touch Confidential Jobs
    • Enter the assigned PIN
    • Touch Print

    Confidential print jobs are automatically deleted from memory after printing.
