BW Student Email Update


Beginning Tuesday, January 8, 2019 you will be provided with a new @bw.edu email address. Your new @bw.edu email address will be used for all “official” Baldwin Wallace University communication.

We know you have questions. Below are Frequently Asked Questions (FAQ’s) to help you navigate the process.


Benefits of new email @BW.EDU address

This FAQ page will provide you with all the details you need. If you have additional questions or concerns that are not addressed in the FAQ’s, please let us know.



No. The bw.edu account is a brand-new, completely blank, separate account.


It will have the same password as your current @mail.bw.edu account.


Everything that’s there now will stay there. Remember, that account is yours to keep for life. The new @bw.edu account will expire two semesters after you graduate.


Probably not. Remember, your @mail.bw.edu account is yours for life, so it will remain an active account and accept mail sent there. If you’ve associated any online accounts with that email address, nothing will change. It is not recommended that you associate anything other than BW email with the new @bw.edu account because it will expire two semesters after you graduate. Use your @mail.bw.edu or another account for that.


All current BW students who have @mail.bw.edu addresses. Beginning in Fall 2019, all incoming students will only receive an @bw.edu address and will no longer have email for life. You are among the last group to receive that benefit!

Any mail sent to you via Blackboard will come to your new @bw.edu account.

Yes, It is recommended to that you use different browser for the different email account.
OLD: my.mail.bw.edu
NEW: email.bw.edu

Most of BW’s administrative systems only require your user name (without any email address extension). If you are OFF campus and asked for the full email address to log in, begin using your new @bw.edu credentials.

Yes! If you add the new account to your mobile device, you can monitor that mail along with anything sent to your @mail.bw.edu account

Having faculty, staff, AND students all on one system allows BW to provide additional benefit through our Microsoft licensing agreement. This includes:
  • • Office 365 Advanced Threat Protection to safeguard your account from SPAM and phishing attacks.
  • • Your new account has an additional layer of security
  • • You will be able to use Office 365 collaboration tools with classmates and instructors.
  • • You will have access to BW’s globally-shared address book
  • • You will have calendar sharing to assist in scheduling appointments with classmates, instructors, and advisors
  • • You will be able to share files from your OneDrive for Business account




You are receiving a new @BW.EDU email account. Your current @MAIL.BW.EDU email account is yours to keep and is not going anywhere.
You will still have access all of your email, contacts, calendar events, and onedrive files in your @MAIL.BW.EDU account.



For any correspondence with graduate schools or employers we recommend that you use your @MAIL.BW.EDU email account. The @MAIL.BW.EDU account is yours to keep. The @BW.EDU email address will be disabled 2 semesters after you graduate.






To forward your BW Email to another mailbox:

  • Sign in to your BW Email acount


  • Click the Settings gear, locate near the upper-right side of the mailbox window
  • Click the Mail link, located near the bottom of the Settings window
  • Click the Forwarding link, located on the right side of the Options menu

    NOTE: Look for the Accounts category to find Forwarding

  • Click the Start forwarding button to begin the forwarding process
  • Type the email address you wish to forward your BW Email in the Forward my email to field

    OPTIONAL: Check the box labeled Keep a copy of forwarded messages if you would like to keep email sent, as well as forwarding them to the other mailbox

  • Click the Save button
  • Click the Options button to return to your mailbox

  • Your BW email is now forwarded







To share your calendar with your professor or other:

  • Sign in to your BW Email acount


  • Click the Calendar icon, locate near the bottom of the Outlook Task Pane
  • Click the Share icon or link located near the top of the calendar window

    NOTE: If you created multiple calendars click to select the calendar you wish to share

  • Begin typing the email address of the person you wish to share your calendar in the Send a sharing invitation in email ;

    if the perosn is in your contact list, their contact information will appear
    if the person is not in your contact list, type their email address completely

  • Click the Search Directory button, to locate the user you wish to share your calendar
  • Click the name of the person you wish to share your calendar from the results list
  • Select the sharing permissions you wish to give to your calendar

    • Can view when I'm busy - lets them see when you're busy but doesn't include any of your calendar details like the event title or location
    • Can view titles and locations - lets them see when your're busy, as well as the title and location of the event or appointment
    • Can view all details - lets them see all the details of your event or appointment
    • Can edit - lets them edit your calendar
    • Delegate - lets them edit your calendar, create events or appointments on your behalf and share your calendar with others

  • Click the Share button to complete the calendar sharing process
  • Click the Done button to return to your calendar

  • Your BW Calendar is now shared.





You set the viewing settings on your calendar. To check your calender sharing permissions:
  • Sign in to your BW Email acount


  • Click the Calendar icon, locate near the bottom of the Outlook Task Pane
  • Click the Share icon or link located near the top of the calendar window

    NOTE: If you created multiple calendars click to select the calendar you wish to share

  • If your calendar is being shared, contacts will appear under the Share this calendar: Calendar Name




  • NOTE: you can change or modify your calendar sharing permissions at any time.

    Once you are done viewing the calendar permissions:


  • Click the Done button to return to your calendar




Your new BW EMail account is the same Microsoft Office 365 email account as your @MAIL.BW.EDU email account. Microsoft utilizes a cookie within your internet browser to remember your sign in credentials, which allows for faster connection speeds to your email. As a result your new @BW.EDU Mailbox may not be accessible from your current internet browser.
Here are a few ways you can access both (@BW.EDU and @MAIL.BW.EDU) Email Accounts:

  1. Clear your internet browser's cache and history - Clearing your internet browser's cache and history will remove the Microsoft Cookie and allow you to sign in to any BW Email account.
  2. Use separate browsers to access your BW Email accounts - Use Google Chrome to access your @BW.EDU mailbox and use Mozilla Firefox to access your @MAIL.BW.EDU. Separate Microsoft's internet browser cookies will added to your web browser allow you to view your different BW Mailboxes.
